1. Information We Collect
From visitors browsing the directory:
- Server log data: IP address, browser, pages visited, referrer, timestamps.
- Analytics: aggregated traffic and behavior data via tools like Google Analytics, Meta Pixel, and Microsoft Clarity.
- Cookies set for basic site functionality and analytics (you may decline non-essential cookies).
From registered users and vendors:

Lead data:
Our lead database is built from publicly available court records (probate filings). Decedent, petitioner, and case information is sourced from public county clerk and court filings. Individuals named in these records may request removal of their personal information by contacting privacy@nationalprobateservices.com; we will honor reasonable removal requests within 30 days.
2. How We Use Information
- Operate, maintain, and improve the Service.
- Authenticate users and protect against fraud and abuse.
- Match leads to subscribed vendors based on geography and category.
- Send transactional emails (account verification, billing receipts, lead digests, support replies).
- Send marketing emails (only with your consent; you may opt out at any time).
- Comply with legal obligations and respond to lawful requests.
3. Sharing of Information
We do not sell your personal information. We share information only as follows:
- Service providers who process data on our behalf (e.g., Stripe for billing, Google/Firebase for authentication, Google Workspace for email, our hosting provider). All are bound by confidentiality and data-protection obligations.
- Vendor matching: if you are a subscriber, leads matched to your service area are visible only to you in your vendor portal.
- Legal compliance: when required by law, regulation, court order, or to protect our rights or the safety of others.
- Business transfers: in the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity, subject to this Policy.
4. Cookies and Tracking
We use cookies and similar technologies for site functionality, analytics, and (with consent) marketing. You can control cookies through your browser settings. Disabling essential cookies may limit Service functionality.
5. Data Retention
We retain account and listing information for as long as your account is active. Lead data is retained for an active period (typically 180 days from filing date) after which records are archived or removed. Backups may retain data for up to 90 days after deletion. Billing records are retained for 7 years for tax and accounting purposes.
6. Your Rights
Depending on your jurisdiction, you may have rights to:
- Access the personal information we hold about you.

- Delete your account and associated personal data (subject to legal retention requirements).
- Export your data in a portable format.
- Opt out of marketing communications.
- Object to certain processing activities.
To exercise these rights, email privacy@nationalprobateservices.com. We will respond within 30 days.
7. Security
We implement reasonable technical and organizational measures to protect your information, including TLS encryption in transit, encrypted password storage, server-side authentication token validation, and least-privilege database access. No system is fully secure; we cannot guarantee absolute security but commit to industry-standard practices.
8. International Users
The Service is operated from the United States. If you access the Service from outside the U.S., you consent to the transfer and processing of your information in the U.S. and acknowledge that U.S. data-protection laws may differ from those of your jurisdiction.
